How do I reserve a room at the GOVERNMENT rate?

Call the Gaylord Opryland at 615 889-1000 and ask for "Reservations” and remember to mention the 2008 MMIS Conference. You must be a GOVERNMENT EMPLOYEE to receive the government rate.

How do I reserve a room at the NON-GOVERNMENT rate?

Call the Gaylord Opryland at 615 889-1000 and ask for "Reservations” and remember to mention the 2008 MMIS Conference. This rate is for all NON-GOVERNMENT EMPLOYEES even if you work in a government building.

What are the rates and specific group codes?

Please use the following codes for your reservation:

Government Rate: N-NESC1 (this last digit is the number one) ($107 rate)
Non-Government Rate: N-NESCS ($209 rate)
This rate applies to rooms for the conference from three days before the event and three days after the event. In other words, if you would like to come a little early or stay a little longer you can get a conference rate three days on either end of our event.

Are there driving directions to the hotel?

Check the hotel website for specific directions from major routes to the hotel.

Does the hotel have a shuttle to and from the airport?

Yes. Gaylord Opryland Resort & Convention Center offers an Airport Shuttle, Hotel Complex Shuttle, Sedan Service, as well as shuttles to the wonderful area attractions such as the Grand Ole Opry and Gaylord Springs Golf Links.

Do I have to pay for parking at the Hotel?

Yes. Self-parking is available for $16.00 per day (plus tax); valet parking is available for $24.00 per day (plus tax). Cars with handicapped parking tags may valet park for the self-parking price. Prices are subject to change without notice.

When will the final conference agenda be posted to the conference website?

The final agenda is usually posted about one month prior to the conference.

How can I network with peers at this conference?

You can meet with your colleagues by joining our teambuilding event on Tuesday and by attending our conference receptions. A list of pre-registered conference attendees will be posted to the website in August.

What is a demo room and how can my company reserve one?

The conference has reserved 4 demonstration rooms for the duration of the conference. Please contact NESCSO 508.856.8229 for specific details. If all rooms have been reserved, you may inquire at the hotel for other available meeting rooms.

Emergency Contact

How can someone reach me in case of emergency at the conference?

If someone from your family or office needs to reach you in an emergency situation while you're at the conference, and they've exhausted all other possibilities, have the person call the MMIS conference phone at 508-856.8229 and we'll do our best to get the message to you. (Remember, we'll be on Central Time).

Exhibitor And Sponsor Information

What are the exhibit hall hours?

Generally the exhibit hall is open from 8:00am-5:00pm Monday, 8:00am-2:00 pm Tuesday, and 8:00am-5:00pm on Wednesday. Times may be subject to change.

When can we set up or take down our booth?

We have scheduled the move in time at 10:00am on Sunday, September 14, 2008. The conference will be sponsoring an Exhibitor Welcome on Sunday afternoon from 4:30pn-6:00pm. You may begin to break down your booth after 5:00pm on Wednesday, September 17 and your materials must be out of the exhibit hall by Thursday at 12:00pm.

What is included in the booth rental fee?

A 10'x10' booth space, a 6' table, 2 chairs, pipe and drape, 1/8 page ad & logo displayed in conference program, carpeting, electricity, a waste basket, one booth attendant registration, and participation in the Exhibitor Welcome reception. Internet service is at an additional cost. Please contact the hotel for connectivity.

We are sponsoring a reception. Is there any one to help us?

NESCSO will work with you for the initial contact information and will help you to coordinate with the Gaylord Opryland.

We want to decorate our Booth? Are you working with a decorator/drayage company?

Our selected drayage company is Freeman.
The exhibitor service kit is now available for review.

What is your sponsorship refund policy?

All sponsorships are NON-REFUNDABLE /NON-TRANSFERABLE.

We are a corporation with a booth in the exhibit hall. At this time we don’t know who will be attending but want to reserve our rooms now. How can we do this?

You need to register each individual for the conference as well as make a hotel reservation for that person. If at a later date this person is unable to attend, you can either transfer their conference registration to another staff member or cancel their registration completely. The deadline is August 1, 2008. No registration changes will be allowed at the conference. You will need to contact the hotel to change any room reservations.

Where can I find a list of attendees?

A list of pre-registered conference attendees will be posted to the web site in August. All 2007 registered attendee names were included in the post conference CD. If you need a copy of that list/CD, contact NESCSO.

What are the registration costs for the conference?

The rate for GOVERENMENT EMPLOYEES is $395.00 and $495.00 for NON-GOVERNMENT employees. Our online registration service allows you to pay by credit card, PO, or check.

How do I register for the conference?

All registrations are via CVent. The Register Now link is located on the drop-down registration tab on every page of our conference website.

How do I cancel or modify my registration information?

Contact NESCSO for all registration cancelations or modifications

What is your refund policy?

Cancellations/refunds prior to August 1st are subject to a $50 processing fee. There are no registration refunds after August 1, 2008. All sponsorships are non-refundable/non-transferable.

What are the registration desk hours?

Sunday - Noon to 6:00pm; Monday - 7:00am-5:00pm; Tuesday - 7:00am-11:00am; Wednesday - 8:00am-2:00pm

What does my registration include?

Daily admission to the sessions and exhibit hall, Monday through Thursday breakfasts, Monday through Wednesday lunches, refreshment breaks and evening receptions.

Speaker Resources

The 2008 MMIS Conference staff is committed to assisting all speakers in making sure their presentations are a success. There are many logistical details that are best organized in advance, so your cooperation in responding by the various deadlines as communicated to you is sincerely appreciated. All speakers attending the conference are required to register and pay the conference registration fee. Any speakers attending the conference on the day of their presentation ONLY, may have the registration fee waived. Please contact Nancy Peterson for specific details.

Pre-conference
We suggest that you have your presentations available on a CD or thumb drive so we may load it onto the conference laptop machines. If you need assistance with this process, or need an alternative plan for your presentation, please contact Nancy Peterson at 508.856.6425

Post conference
All presentations will be available to conference attendees on a CD sometime after October 1, 2008. Please have your contact information listed on your presentation.

Abstracts
Presentation abstracts should be 150 words or less and electronically submitted to Nancy Peterson.

Bio's
Each speaker is asked to submit a brief (100 words) bio to Nancy Peterson. Please submit a bio by July 15 to be included in the conference program.

Vendor Track Sessions

What is a vendor track session and how can my company reserve one?

The 2008 MMIS Conference agenda includes a track devoted entirely to vendor products and services. Just complete the vendor track session request form and send it along with your check to NESCSO. These sessions generally run about 1 1/2 hours and are listed in the program guide along with your logo and your 150 word abstract.
(Deadline for abstracts is July 15)
